This is a brilliant opportunity to gain hands-on charity experience, with the option to complete a nationally recognised Level 3 Fundraising Apprenticeship.

In this role, you'll:

  • Be the first point of contact at our vibrant Charity Hub

  • Assist visitors, donors, staff and volunteers

  • Process donations and manage donor records via our CRM

  • Support fundraising campaigns, events, logistics and volunteers

  • Help with social media, email, print and internal comms

  • Support our lottery, donor stewardship and ensure compliance with GDPR/NHS/Fundraising Regulator standards

Main duties of the job

  1. Act as the first point of contact for fundraisers, members of the public, staff and supporters in the Charity Hub.
  2. Provide administrative support across a wide range of fundraising activities, including individual giving, events, community fundraising and legacy income.
  3. Responsible for the accurate recording of fundraising income, Gift Aid declarations and donor information on the charity CRM system.
  4. Support fundraiser stewardship by ensuring timely acknowledgements and assisting with thank-you communications.
  5. Help to deliver events and fundraising campaigns, including sourcing materials, coordinating volunteers and attending events.
  6. Contribute to marketing and communications via social media, email, print and internal platforms.
  7. Support reception duties, handling cash/card donations, signposting visitors and answering queries.
  8. Support the administration and delivery of the public lottery, including supporting volunteers contacting lapsed players and stewarding current members.
  9. Assist the Fundraising Manager by researching new partnership opportunities with local businesses, events and stakeholders.
  10. Help ensure all activity complies with GDPR, NHS governance, and Fundraising Regulator guidance.

Detailed job description and main responsibilities

  1. Reception and Public-Facing Duties

    Provide reception cover at the Charity Hub desk; welcome and assist fundraisers, patients, staff,  visitors and supporters.
    Accept, record and receipt donations (cash, card, cheque), ensuring accuracy and compliance.
    Act as a helpful, compassionate and professional first point of contact.

  2.  Supporter Care and Enquiries

    Respond to inquiries by phone, email and in person regarding fundraising, donations, and events.
    Prepare thank-you letters, certificates and welcome packs for donors and fundraisers.
    Offer advice and support to staff, volunteers, and members of the public involved in fundraising.
    Support the administration of the public lottery, including data entry, answering membership queries, contacting lapsed players, and stewarding current players

  3. Event and Campaign Support

    Assist with the planning, delivery and follow-up of internal and community fundraising events.
    Help coordinate supplies, promotional materials, and volunteer communications.
    Attend events on behalf of the charity, occasionally during evenings or weekends.

  4. CRM and Data Management

    Input and maintain accurate supporter and income records on the charity’s CRM system.
    Process Gift Aid declarations and manage consent preferences.
    Help generate income reports and mailing lists to inform campaign planning.

  5. Finance & Income Processing

    Assist with counting and reconciling donations received at the Hub and via post.
    Help prepare bank paying-in slips and liaise with the charity finance team for income reconciliation.

  6. Marketing & Communications

    Help identify social media, email and print content to promote fundraising activity.
    Source and collate impact stories to share with supporters and staff.
    Distribute posters, leaflets, and event materials around the hospital site.

  7. Governance & Compliance

    Ensure all activity complies with GDPR, UHP Trust policy and Fundraising Regulator guidance.
    Support preparation of fundraising committee papers and help maintain accurate records for audit purposes.

  8. Research

    To support the Fundraising Manager by researching potential new charity partnerships with local businesses, organisations, events and key individuals.

  • • Demonstrable experience in customer-facing or reception roles
  • • Comfortable handling telephone, email and face-to-face enquiries
  • • NVQ Level 4 or equivalent Demonstrable experience / education
