Band 2 Administrative Assistant for Service

37.5 hours Monday - Friday 

Based at Alderney Hospital Hospital

We are a busy community service consisting of speech and language therapists and assistants.  The admin team is essential to the smooth running of the service.

We are seeking an enthusiastic, organised, pro-active and efficient administrator and telephone receptionist for the Adult Community SALT team.  You need to have demonstrable experience of working in an office environment and well developed IT skills are essential with working knowledge of Microsoft Office and Teams.  

You will be working within our admin team for the service which has another 2 administrators within it. You will be responsible for answering the phones and being the first contact for the service, adding referrals onto the electronic clinical system (System One) as well as supporting the  team with general administrative duties. 

We work with people who may be communication impaired so a clear and compassionate telephone manner is essential.  Full training and support will be given in this area and other areas essential for the post. 

Previous NHS experience and experience of System One will be an advantage. 

There is some home working within this role if desired and some office based work at Alderney Hospital.

Main duties of the job

To provide efficient day to day admin support to the Speech and Language (Adults) Therapy Team which will include using SystmOne processes for registering referrals and retrieving data and printing reports and letters.

To undertake general admin duties as required by the Speech and Language Team, i.e. photocopying, shredding, filing, scanning etc., accurately and to deadlines and in a way which reflects the professionalism of the Service and the Trust.

To collect, open, date stamp and distribute incoming mail every day and ensure all outgoing mail is taken to reception for collection by 4.30.

To ensure an effective message taking system is maintained.

To collate compliment returns for the Service and forward to the Service Lead or any other professionals as requested.

To receive and respond to incoming telephone calls from the main telephone number, acting as a first point of contact for most callers, including staff and people from a wide range of organisations, determining their requirements and taking appropriate actions under the supervision of the Team Lead.

To ensure all invoices are forwarded to Service Lead in a timely and efficient manner.

To undertake accurate and timely typing as required, such as updating, formatting documents, templates and guidelines.

To maintain adequate stocks of stationery for the Team.
