We are looking for a friendly individual with a positive approach, to work as part of the team in the Breast Unit.  Suitably qualified applicants are invited to apply for the post of Breast Services NBSS Administrator, joining a dedicated team of staff providing administrative support to the Department.   The Breast Screening Service  invites approximately 50,000 clients per year for well woman breast screening and also provides a Breast Symptomatic Service.  This post holder will be a valuable member of the Team.

A flexible approach to work within the core hours: Monday to Friday 8.00am to 6.00pm

Main duties of the job

The post holder will join a team of friendly staff motivated to provide an efficient administration service to patients attending the department. 

To provide support and assistance to the Breast Screening Service, in a wide range of clerical duties.

The post holder will work as part of the Multi-Disciplinary team providing an excellent service for women.

Previous experience of working as part of a team in a busy office environment is an essential requirement of this post. Typing/word processing qualifications and a working knowledge of Microsoft Office applications are required.

Detailed job description and main responsibilities

To provide a secretarial service supporting consultants with administrative duties, using office machines and the National Breast Screening computer system.

Be responsible for arranging and following up on pathology and x-ray reports. Ensuring consultants/associated medical staff are aware of results, particularly results with abnormalities or of key importance.

Maintain up to date records and arrange appointments for specific conditions/investigations. Adhering to the two-week rule. Checking, authorising and booking symptomatic breast appointments in accordance with current guidelines. Using Trakcare (hospital administration system), CRIS (radiology system). Booking future follow up mammography appointments.

To administrate the registering, allocating of appointments and producing results for High Risk genetic clients onto the National Breast Screening system as per national guidelines.

To administrate Interval Cancers onto the National Breast Screening system. To obtain images and histopathology for all breast cancers diagnosed in other hospitals. To input biopsies on NBSS and conduct relevant audits as per national guidelines. Managing the invitation and results of National Breast Screening high-risk clients.

Using own initiative and judgement, within broad guidelines, regarding incoming telephone calls for GP’s, patients/relatives/PCT’s and local authorities.

Act independently in support of the consultant, prioritise and book appointments, collation of clinics.

Undertake appropriate secretarial duties, telephone calls, filing and photocopying.

Collate, organise, attend weekly Multi-Disciplinary team meetings, and provide an administrative role whilst there.

Inputting of Breast Screening patients data to produce screening and recall assessment in accordance with the Right Result Protocol of the NHSBSP.

Inputting of accurate information regarding biopsies to comply with QA standards with regard to statistical reports (KC62’s and BASO) for the Trust to the Department of Health.

Carry out timely and effective administration in the invitation of clients to the National Breast Screening Programme. To include identifying clients to be screening, screening lists and booking appointments.  Liaising with GP’s, patients and using BS Select.

Provide support to Band 2 Clerical Officers within the unit and assist in training for new members of staff.

The post holder is required to deal with clients, often, in an emotional/distressed state. The role includes typing documents of a distressing nature, communicating with clients and their relatives.

Dependant on service need other duties may be allocated by the Breast Services Office Manager.

Qualifications and Attainmnets

Essential criteria
  • GCSE at grade C or above in Mathematics Key Skills at level 2 in Numeracy (or equivalent)
  • GCSE at grade C or above in English Language, or Key Skills at level 2 in Literacy (or equivalent
  • NVQ at level 3 or equivalent
  • RSA stage 3 or equivalent
Desirable criteria
  • Medical Terminology qualification

Experience

Essential criteria
  • Demonstrable experience of clerical work involving computerised systems
  • Demonstrable experience of data and information processing using appropriate technologies
  • Considerable amount of relevant NHS experience in an administrator role
  • Knowledge of work procedures and practices within the breast unit
Desirable criteria
  • Experience of working within a healthcare environment
  • Experience of working with NBSS
  • Experience of working within a multi-disciplinary team
  • Understanding of NHS complaints system
  • Knowledge of TRAKcare, CRIS, OMNILAB, IEP, NBSS, and BS Select
