Job overview
An opportunity has arisen for a Secretary to work within our Cardiology Department based at Worthing Hospital.
We are looking for a highly motivated individual to provide a comprehensive secretarial service to the Cardiac team as directed by the Care Group Support Manager. The successful candidate must be able to work using their own initiative, but also as part of a team.
Good communication skills are essential as you will need to liaise directly with patients, Consultants and other hospital staff.
A working knowledge of general office procedures and Microsoft packages is
required but full training will be given in the use of hospital software.
Audio typing skills are essential and a knowledge of medical terminology would be an advantage.
Main duties of the job
To carry out the audio-typing of clinic letters and other correspondence.
To use Careflow to ensure that patients have their next appointment within the timeline stipulated in the clinic letter and to book follow-up if not already arranged. If scan requested in clinic letter, check CRIS to ensure this has been requested by consultant.
To update pathways accordingly by ensuring outcomes from clinics are
completed with the clinical teams and patient discharges are implemented.
To cancel/re-book appointments as requested by the Consultants, CNS’s or patient.
To email the Clinic Changes Team and request any slot changes/overbooks on clinic as per Consultant/CNS request.
To answer the telephone within an appropriate timeline and deal with enquires from patients, relatives, GPs and other departments within the Trust.
To liaise with other secretarial staff, particularly within the same department, and ensure that cover arrangements during annual leave and sickness are facilitated by working as a team member, as required, and as directed by the Lead Manager.
To liaise with internal and external professionals and departments and the general public as and when required, in a friendly, professional and courteous manner.
Undertaking mandatory training courses as required by the Trust and to
undertake any other relevant training deemed necessary by the Lead
Manager to perform the job to an acceptable standard.

Detailed job description and main responsibilities
