Medical Secretary, Band 3 (37.5 hours a week)

An exciting opportunity has arisen for an additional Full Time B3 Medical Secretary to join our extremely busy yet friendly Oncology team based at Cheltenham General Hospital.  Working hours are over 5 days per week, Monday to Friday.

This important role supports the Outpatient Services in Oncology for Gloucestershire Hospitals NHS Foundation Trust.

Main duties of the job

You will ideally have secretarial experience and be accustomed to working in a high pressured and fast paced yet friendly environment.

As a member of the secretarial team, you must possess an excellent work ethic with proven organisational and communication skills, and be an exceptional team player. 

You will be expected to take responsibility for the workload of a team of consultants, involving typing and proofreading of clinical letters; chasing results; managing busy mailboxes and phones; liaising with a variety of clinical staff and departments.

You must be able to work both independently as well as within a team environment.

You will also be required to support the wider secretarial teams as necessary under the supervision of the Supervisor Secretaries.

Detailed job description and main responsibilities

- Use of voice recognition software to transcribe and proofread dictated letters

-High attention to detail and accuracy essential for typing and proofreading of clinical letters

- Typing correspondence to patients, GPs, medical staff and any other required addressee following clinical attendance or other patient
contacts as directed by the secretary supervisor.

- Typing detailed medical reports for legal use when necessary.

- Supporting consultant staff by assisting with the production and transcription of letters

- Take and transcribe minutes as appropriate.

- Chasing of scan results

- Diary management, including coordinating appointments, booking of meeting dates and venues, organising and distributing paperwork as
required by the clinical team/supervisor.

- Management of busy mailboxes and telephones

- Liaising with external organisations for the benefit and progress of patient care, such as GP surgeries, other hospitals, etc

- Take ownership and responsibility for the workload of a team of Consultants, Dr’s and Nurses

Qualifications

Essential criteria
  • Educated to GCSE grade C or above (or equivalent) in literacy and numeracy
  • Typing Qualification or demonstrable experience (min 40 wpm)
