Job overview
An exiting opportunity has arisen for a Medical Secretary to join the Child Health & Development Directorate within the FICC division. We are looking to recruit to 1 WTE post at full time hours (37.5 hpw)
The post holder will be required to provide a comprehensive secretarial and administration service to consultants within the Families and Integrate Community Care Division.
The role will involve acting as a Medical Secretary to the consultants, you will be accountable for the day- to-day management of your own and Consultants clinical and non-clinical workload. An essential part of the role is the ability to manage and prioritise own workload without direct supervision including diary management, dealing with telephone calls and enquiries, typing minutes of meetings and random quality checking of typist work.
Other duties may include word processing, keyboard skills, audio-typing, use of G2 voice recognition system, data processing, information technology, communication and organisational skills. Holiday cover for other Personal Assistants will also be a requirement of the post.
Main duties of the job
Process some reports and correspondence using the G2 voice recognition system and Nexus. Type occasional reports and other clinical / non-clinical correspondence from transcription/audio tape, using word processing packages. This would include multidisciplinary reports, developmental reports, referral letters, clinic letters etc.
Compose, as required, urgent letters requiring tact, sympathy and understanding, on behalf of the Consultant or medical staff.
Following authorisation by the clinician, ensure that clinic and discharge correspondence to GPs, other Consultants and other health colleagues are dispatched promptly and efficiently.

Quality check random outgoing correspondence undertaken by typists, ensuring any instructions in the correspondence were carried out. These may include arranging outpatient clinic appointments, further investigations or other medical procedures. Dispatch the relevant investigation request/ referral forms to the appropriate departments once completed by the Consultant or a member of the medical staff.

Essential criteria
- 5 GCSE’s grade C or above
- Typing qualification RSA 3 or higher or equivalent experience
- Audio-typing qualification RSA 2
- NVQ 3 Business Administration or Team Leadership or Customer Care or equivalent experience
Experience, Knowledge & Skills
Essential criteria
- Advanced knowledge of Microsoft Office Programme and Keyboard Skills/Audio typing
- Effective interpersonal, organisational and communication skills
- Ability to manage own workload and to supervise the workload of others and ability to delegate tasks

Desirable criteria
