Job overview

An exciting opportunity has arisen within the Think Family Safeguarding Service (TFSS) for an administrator (full-time - 37.5 hours per week). 

We are looking for a highly skilled administrator who will be required to provide effective and confidential administrative support across the Think Family Safeguarding Service and work alongside the other staff members in the team. 

The post holder will be based at Claire House, Lower Ince Health Centre, working predominantly with the Children in Care Team within the TFSS but there will be requirements to support and work across all elements of the service, as directed by Line Manager and workstream priorities, to provide administrative support.

Main duties of the job

The Named Nurse for Children in Care will have oversight of the day-to-day management of the TFSS Administrator where duties will include supporting effective and responsive running of the Children in Care office by providing comprehensive, efficient, and high-quality administrative services. This will involve prioritising and organising day-to-day workloads whilst maintaining confidentiality of information throughout the full range of duties involved. Implementation and maintenance of coherent systems/databases to facilitate the management and analysis of safeguarding and children in care processes, using a variety of software programs including Word, Excel, and Access are a key requirement of the role. 

The post-holder will be required to liaise with staff within and outside the organisation as appropriate, including all professionals responsible for children in care. Responsible for the effective communication and distribution of information as appropriate to a wide range of recipients within and outside the organisation as delegated. The post holder will carry out duties in a confidential and discreet manner.

Qualifications

Essential criteria
  • Educated to GCSE/CSE/O’Level Standard Grade 4/C or equivalent
  • Knowledge of administrative systems, patient information systems, office procedures and date input procedures
Desirable criteria
  • IT Qualification

Experience

Essential criteria
  • Working in an office environment
  • Working to deadlines
  • Working with electronic patient data systems
Desirable criteria
  • Knowledge of a health care environment is an advantage for this post

Skills & Knowledge

Essential criteria
  • Ability to communicate with others effectively using a variety of methods
  • Can demonstrate and understand NHS responsibilities regarding the management of confidential information
  • Ability to organise own workload and work with a minimum supervision and on own initiative
  • Competent in the use of Microsoft packages including office and outlook
  • A good working knowledge of effective office systems, including robust filling systems, manual and electronic and diary management
Desirable criteria
  • Ability to think widely and analyse problems and develop solutions
