Job overview
This role will involve supporting the Assistant Service Manager in the day to day running of the Audiology Admin team.
A key part of this role will be to ensure an excellent level of customer service and attention to detail is delivered throughout the team through management.
Main duties of the job
Manage the Audiology outpatient team.
Promote a high quality, efficient and effective service, focusing of the needs of all service users
Handle inquiries from staff, patients and visitors relating to Audiology appointments
Analyse waiting lists and check clinic utilisation
Plan and organise straightforward tasks/activities.
Prioritise own workload and use own initiative to deal with problems.
Intercept complaints as they arise
Monitor the generic mailbox and telephones
Book new and follow up appointments as required
Ordering stationery
Cover reception as and when required

Detailed job description and main responsibilities
Retrieve and input information accurately and efficiently onto the computer systems.
Send and receive electronic messages to and from General Practitioners and other NHS hospitals in-line with Trust confidentiality and Data Protection policies.

Provide an efficient, responsive, polite liaison service with effective communication between the department and all users including patients.
Conduct appraisals.
Maintain staffing areas in accordance with department and Trust policies and development to improve the Audiology administrative service.
Manage day-to-day effective operation of all Audiology administrative areas, including assessing appropriate staffing levels and communicating staffing shortfalls.
Ensure appointments are booked correctly and to the appropriate Audiologist, in addition to supervise the delegated administration team proving support and assistance to facilitate this process.

Education/qualifications
Essential criteria
- NVQ Level 3 in Business Admin, BTEC or equivalent experience
Desirable criteria
- Previous experience working in NHS/GP
- Previous experience of hospital Cerner and Auditbase
Knowledge & Experience

- Experience in managing confidential information
- Extensive experience in administration
- Experience working with patients.
