Job overview

The E-Rostering System Specialist is responsible for maintaining accurate and up to date Medical and Dental workforce data within the Trust’s electronic rostering system. The post holder will ensure that information received from Medical Staffing, rota coordinators, managers and other authorised teams is reflected accurately and within agreed timescales.

The post holder will support the day to day administration and effective use of the electronic rostering system, including staff records, roster structures, establishment data, user access, organisational changes and agreed system requirements. Rota coordinators remain responsible for managing and maintaining operational rotas.

This role provides system support, technical updates, guidance and data quality assurance to ensure the system reflects current workforce and service requirements.

The post holder will support business as usual activities, assist with agreed changes to system requirements, maintain data quality, support reporting and payroll related processes, and provide guidance to users on correct electronic rostering processes.

Main duties of the job

System administration and data quality

·         Maintain accurate and up to date Medical and Dental staff information within the Trust’s electronic rostering system.

·         Update the system with information received from Medical Staffing, rota coordinators, service managers and other authorised stakeholders.

·         Process system changes relating to new starters, leavers, rotations, placement moves, changes in hours, work patterns, grades, departments, reporting lines and organisational structures.

·         Support Resident Doctor rotation updates by ensuring staff records, roster assignments and system structures are amended accurately and within agreed deadlines.

·         Build, maintain and update Medical and Dental roster structures, teams, units, demand templates and agreed system configuration in line with workforce and service requirements.

·         Carry out regular data quality checks to ensure information held in the system is accurate, consistent and aligned with workforce and payroll records where required.

·         Maintain user accounts, access permissions and organisational structures in accordance with information governance requirements.

·         Maintain clear records of system changes, issues, actions and decisions.

  • • Experience working within NHS rostering, workforce, or HR systems • Experience of maintaining workforce, HR, rostering or operational system data • Experience of supporting Medical and Dental workforce administration or rota related processes. • Understanding of Resident Doctor rotation processes and the importance of accurate system records. • Experience of producing reports, checking data quality and resolving data discrepancies. • Experience in system configuration or data management • Experience working with stakeholders across services • Experience of supporting business as usual processes and working to operational deadlines. • Experience in medical and dental rostering
Desirable criteria
  • • Understanding of Medical and Dental terms and conditions, Working Time Regulations or roster compliance principles. • Knowledge of payroll, workforce information or establishment control processes. • Experience supporting system testing, upgrades or agreed process changes.
