Job overview

A fantastic opportunity has arisen for a hardworking and proactive individual to join the Outpatient team based at Northwick Park Hospital within the Urology Department to deliver administrative service.

This post holder will be responsible for the day to day management and full bookings, cancelling of all outpatient clinics, ensuring that all targets are adhered to and met.

You will need to demonstrate good communication, organisation and prioritisation skills and be able to work on your own initiative under minimal supervisor.

The successful applicant will be a team player, but also able to work individually. You will be a confident and clear communicator possessing excellent computerised data management and verbal reasoning skills. We are seeking an enthusiastic individual who can demonstrate excellent attention to detail and accuracy and experience in prioritising workloads.

Main duties of the job

JOB SUMMARY

  • Work within the Clinical Support Team to provide a comprehensive clerical support service
  • Responsibility for data entry and maintenance of database systems.
  • Assists in the organisation of workload management - word processing, distributing and filing etc.
  • Liaison with clinical and admin staff both within and outside the department.
  • Contact with patients and other relevant external agencies & extensive contact with GP's patients and other relevant external agencies.

Detailed job description and main responsibilities

KEY RESPONSIBILITIES

  •  Liaison with staff both within and outside the department, extensive contact with GP's patients and other relevant external agencies.
  • Responsibility for providing and receiving complex/sensitive information requiring tact, empathy and diplomacy.
  • Respond to a high volume of external/internal enquires via personal, written and telephone queries.
  • Responsibility for implementing instructions involving liaison with patients, hospitals, GP's and other agencies in connection to patients and their care.
  • Excellent communication skills required.

Administrative Responsibilities

  • Extensive use of computer information/paper based systems
  • Copy and Audio typing if required
  • Collection, Delivery and tracking of correspondence and health records to patients, referrers and doctors
  • General clerical and general administrative duties
  • Day to day maintenance of records and filing
  • Faxing/photocopying, distribution of incoming post/mail
  • Computer entry of data
  • Updating of Service’s patient information leaflets, booklets etc
  • To undertake post duties on a daily basis, which include delivering and collecting from both internal and external – entering details on the data base and informing the relevant clinical or admin team member
  • Shared responsibility for answering departmental enquiries.
  • Responsibility to maintain good working knowledge of all office procedures.
  • To file, retrieve and archive patient
