Job overview

The Administration Coordinator will be based within the NHNN Rehabilitation Admin Team, playing a key role in managing administrative processes within patient pathways. This position is essential in ensuring a smooth and efficient service for both the multidisciplinary team and patients, contributing to a high-quality administration service, an enhanced patient experience, and excellent customer service. The post holder will be required to work on-site at least three days per week and provide cross-cover for other admin team members during periods of annual leave or sickness.

Main duties of the job

The Administration Coordinator will play a vital role in managing patient pathways, ensuring a seamless administrative service for both clinical teams and patients. Responsibilities include handling patient enquiries, scheduling and monitoring appointments, and proactively identifying and resolving pathway delays. The role involves supporting clinicians with diary management, meeting coordination, and ensuring they have the necessary information for patient care. Maintaining accurate patient records, generating reports, and contributing to service improvement initiatives are also key aspects. Additionally, the post holder will supervise administrative assistants, provide training to new team members, and offer cross-cover during staff absences. With a strong focus on communication, data accuracy, and efficiency, this role is essential in delivering a high-quality patient experience and supporting the smooth operation of the NHNN Rehabilitation service.

Knowledge and Qualifications

Essential criteria
  • Educated to GCSE level or equivalent, with Grade C or above in English and Maths.
  • Knowledge of the full range of administrative procedures, acquired through training and previous experience of working in an administrative environment.
  • Awareness of the requirement to maintain confidentiality, and knowledge of the Data Protection Act.
Desirable criteria
  • NVQ Level 4 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification.

Experience

Essential criteria
  • Experience of working in a non-routine environment, with demonstrable evidence of problem solving and resolving issues as they arise (acquired through experience and/or training to Vocational level 4 or equivalent)
  • Experience of working in a customer facing environment, resolving queries and using initiative to ensure first-class service delivery.
Desirable criteria
  • Previous NHS experience, or experience of working in a healthcare setting.
