Job overview
We are looking for a motivated and well organised Team Administrator to join our administration team in the Bolton Primary Care Psychological Therapy Service. This is a busy and friendly service, based at 33 Victoria Square in Bolton town centre. The hours of work will be Monday to Friday 9am to 5pm, however working times may vary to meet the demands of the service, and some remote working may be required.
you will be providing comprehensive and confidential support to the service, with varied duties including inputting to the patient information system, logging referrals, speaking with service users, arranging appointments, liaising with and assisting clinical staff, managers, visitors and other professionals, along with general office duties.
You will be expected to produce work within tight schedules and to a consistently high standard.
You should be able to work on your own initiative, have exceptional organisational skills and be able to communicate at all levels, both within the Trust and externally.
The successful applicant will have excellent communication skills, IT competency in Word, Excel and Outlook, and a broad range of administrative experience.

Main duties of the job
To provide an administrative/secretarial service to support the team members, ensuring that referrals, letters, appointments, and reports are accurately produced within agreed timescales, and data is input to required standards.
Effective liaison with staff, patients and outside agencies, ensuring accurate information is communicated as and when required, including reception duties and dealing with enquiries from clients and the public.
Responsibility for the processing of incoming and outgoing mail, including prioritising, sorting and actioning as necessary.
Responsibility for booking appointments, associated data entry and maintenance of patient records.
Arranging meetings when required, taking minutes, ensuring accurate transcription and distribution.

Qualifications
Essential criteria
- GCSE Grade A-C English or equivalent ECDL NVQ3 Business Administration
Desirable criteria
- IT related qualification
Experience
Essential criteria
- Experience of working in a confidential office environment using a VDU
Desirable criteria
- Use of office equipment, contact with service users, knowledge of IAPT
Skills
Essential criteria
- Good communication skills, ability to prioritise tasks and work under pressure, IT skills (word, Excel), enthusiastic and positive

- Patient admin background, knowledge of Paris and PCMIS
