Job overview
To provide a comprehensive secretarial/administrative support including reception, general enquires, call handling, systems and data entry to support the smooth operation of the Intensive Outreach Team.
Main duties of the job
- To effectively manage self, workload and responsibilities.
- To register all new referrals on the system (System One)
- To ensure that a high level of customer care is always demonstrated and that the privacy and dignity if all families and young people is respected.
- Provide comprehensive administrative support to the wider team and Team Lead.
- Daily organisation of the office including opening post, distributing appropriately and proactively and delegating duties.
- Record queries from face to face/post/email/phone contact and be responsible for passing on to the most appropriate person if beyond own control.
- Tasks involving children’s records – scanning, archiving, photocopying, medication chart printing, emails.
- Provide admin support for the Team Lead, for example ESR, Agresso, MSS, HR forms, maintain staff records.
- Establish and maintain effective filing and retrieval system.
- Given the vulnerability of the client group and the amount of client contact, any safeguarding concerns to be immediately raised with Team lead or lead clinician.
- Ensure accurate and timely input of data across all systems, including data capture, reports and analysis.
- Maintain stock control within the office to include the process or invoices and ordering on Agresso and the admin function associated with this.
- To order stock identified as required from the domestic team, and clinical area.
