Job overview

This is an exciting opportunity to join the Renal Secretariat team as a Specialty PA to  support our well established team at the City Hospital.

Working as part of a team the post-holder will provide a high quality administrative service to consultants and their teams. You will be a conscientious and enthusiastic team player with excellent organisational and communication skills, and be well motivated and reliable.

15 Hours per week.

Main duties of the job

You will be able to understand and accurately convey verbal and written information and be able to remain calm under pressure.  You will be able to work as part of a team to ensure the smooth running of a busy department.

Accurately transcribe clinical letters using BigHand, producing high quality work within defined deadlines.

Detailed job description and main responsibilities

To manage Advice & Guidance requests

Accurately transcribe clinical letters using Bighand, producing high quality work within defined deadlines.

Use judgement and initiative to prioritise the importance/urgency of tasks within defined guidelines

Establish and maintain admin systems/databases

Dealing with incoming mail, results/reports management

Attending/organising meetings, take minutes.

Ensure RTT patient data quality is accurate.

Key point of contact for consultant

Dealing with consultant queries/visitors, managing consultant diary.

Telephone calls inbound/outbound relating to patients specific care, in a confidential manner.

Typing of clinical letters, as required.

Adding patients to a waiting list for procedures.

Person specification

Education

Essential criteria
  • OCR text processing or equivalent
  • 5 GCSE qualifications, grade C/4 or above
Desirable criteria
  • NVQ level 2/3 in Business Administration

Experience

Essential criteria
  • Previous or current admin experience
  • Previous typing experience
  • Knowledge of Medical Terminology
  • Electronic diary management.
Desirable criteria
  • Previous NHS work
  • knowledge of NUH computer systems
  • Knowledge of 18-week RTT policy and experience

Communication and Relationship Skills

Essential criteria
  • Clearly and accurately convey information verbally gathered from both verbal and documented reports
  • Able to communicate with a wide range of patients and healthcare professionals at different levels of seniority, maintaining confidentiality, sensitivity and empathy

Analytical and Judgement Skills

Essential criteria
  • Able to use judgement to make decisions in order to solve problems/enquiries
  • Ability to prioritise workload and use own initiative

Planning and Organisation Skills

Essential criteria
  • Demonstrates an ability to organise own work schedule
  • Works within prescribed deadlines while maintaining attention to detail and accuracy
