Job overview

This is an exciting opportunity to join the Clinical Therapies Administration Team. We are currently looking to appointment three applicants in positions one part time 30 hour position and two full time position which are  37.5 hours per week.  

Essentially, the post holder will need to have  experience in dealing with patients on a waiting list,  have a minimum of 3 GCSE's including English and Maths at Grace C or above or equivalent qualifications or experience as well as excellent keyboard skills.

Duties will include the responsibility for the organisation of a small Administration Team.    Communicating with relevant Therapy staff in respect of outpatient rotas and waiting lists is a key duty, along with completing and maintaining the accuracy of waiting lists and planning patient activity to minimise waiting times, ensuring the best use of resources. 

These roles involve cross site working, and staff may be asked to work at Doncaster Royal Infirmary, Bassetlaw District General Hospital, Mexborough Montagu or Retford primary Care Centre.

Main duties of the job

Monitoring waiting lists and ensuring they are accurate and complete.
Ensuring that Trust waiting time targets are achieved.
Ensure patients are informed in a timely manner of any cancellations or changes to planned attendance / appointments.
Use PAS , Systm One and other clinical systems to record and examine information about patients in order to maintain data quality on the system.
Set up therapy  waiting lists and patient notifications on PAS and other clinical systems.
Print out Systm One, CaMIS  and other clinical systems reports in relation to waiting lists, expected outpatients and other waiting list related summaries.
Maintain a record of clinical staff absences to ensure that  Outpatients Clinics are booked appropriately
Liaise with relevant staff and departments in respect of Clinics.
Handle internal and external telephone calls to the department in a professional and helpful manner.

Qualifications & Training

Essential criteria
  • Minimum of 3 GCSEs including English and Maths at Grade C or above or equivalent qualification or experience
  • Admin and Clerical or equivalent qualification / demonstrable experience and suitable qualification
Desirable criteria
  • ECDL or equivalent qualification / demonstrable experience
  • Business Administration Level ll Apprenticeship

Knowledge & Experience

Essential criteria
  • Previous experience working in a clerical/administrative role
  • Demonstrable working knowledge of Microsoft packages including Word
  • Knowledge of and ability to work to Trust Policies and protocols including Referral to Treatment Patient Access Policy
Desirable criteria
  • Fully conversant with all waiting list functions on PAS and the ability to action these independently.
  • Good knowledge of speciality specific pathways
  • Thorough knowledge of health care setting in clinical administration role
