Job overview
The Division of Medicine would like to invite applicants for a Medical Secretary & Data Collector post working to support the Stroke / TIA clinical team.
This is an excellent opportunity to join the Admin team here at Doncaster and Bassetlaw Teaching Hospitals.
The Post holder will provide an effective and efficient support service to clinical teams ensuring robust systems and processes are in place for overall administrative oversight and coordination of the patient through the relevant pathway. This will include adhering to the specific timescales and waiting time targets through validation and education, promoting a “Right First Time” culture.
Main duties of the job
- Adhere to local, national and clinically indicated maximum timeframes including Referral to Treatment (RTT), Cancer, and diagnostics, escalating where capacity does not allow or there are conflicting targets.
- Application of relevant policies/SOPs to ensure consistent services are delivered
- Attend/complete all mandatory training in accordance with Trust Policy and participate in the Trust’s Annual Appraisal.
- Use of trust developed patient target lists and/or other information reports for consistent facilitation of patient pathway
- Liaise with any relevant member of the Trust or external to the Trust, as appropriate to your role to ensure efficient and timely flow of patient pathway, in line with information governance policy.
- Contribution to achievement of local/national Key Performance Indicators relevant to the role.
- Liaise as appropriate to ensure correct system recording of patient pathway and demographic details in order to prevent data quality issues.
- Be aware of and adhere to the Trust’s Policies, Procedures and Disciplinary rules, and promote awareness amongst peers.
- Be an active team member and undertake any other duties that may be reasonably requested to facilitate the smooth running of the Trust ensuring confidentiality at all times, maintaining good relationships with patients and other members of staff.
- Provide cover as necessary at the request of the Line Manager across the core clinical administration functions, commensurate with level of the role.

Knowledge & Experience
Essential criteria
- Previous experience working in a clerical/administrative role
- Knowledge of medical terminology
- Computer literate incl. Microsoft Outlook, Word, Excel
Desirable criteria
- Fully conversant with all waiting list functions on PAS and the ability to action these independently.
- Thorough knowledge of health care system and processes
- Understanding of Primary Care, GP and Community Services
Qualifications & Training
Essential criteria
- Minimum of 3 GCSEs including English and Maths at Grade C or above or equivalent qualification or relevant experience
- RSA III or equivalent level typing qualification or relevant experience
- ECDL or equivalent qualification or relevant experience
Desirable criteria
- Knowledge of medical terminology/ accreditation

Essential criteria
- Ability to assimilate new practices and knowledge
- Ability to deal calmly and diplomatically with a range of personalities and situations
- Flexible and adaptable, able to take direction and instruction from others
Applicant requirements
