We have an exciting opportunity for a Band 3 Waiting list coordinator to join our team to service the elective orthopaedic service at Mexborough
Elective Orthopaedic Centre.
Doncaster and Bassetlaw Teaching Hospitals (DBTH) working in partnership with Barnsley Hospital NHS Foundation Trust (BH) and The
Rotherham NHS Foundation Trust (TRFT) are opening a dedicated orthopaedic hub for the people of South Yorkshire, with health professionals undertaking hip and knee replacement inpatient procedures alongside foot and ankle, hand and wrist, and shoulder day case surgery.
The Montagu Elective Orthopaedic Centre (MEOC) facility will feature two state-of-the-art theatre units, two anaesthetic rooms and a recovery
suite, in addition to 12 inpatient beds.
As a resilient self motivated person you will work in partnership with all three Trusts but will be initially based at Doncaster Royal Infirmary
working alongside the Waiting List/Outsourcing team based in Trauma & Orthopaedics.

Main duties of the job

Essentially, the post holder will need to have experience in dealing with patients on a waiting list, have a minimum of 3 GCSE's or to the
equivalent of grade C or above and excellent keyboard and IT skills.
Duties will include, day to day planning of theatre lists and liaising with consultants, secretaries and the senior management team to ensure the
mix of patients and procedures is acceptable whilst ensuring that national waiting time targets are achieved.
Arrange Pre-admission assessments for patients and admission dates with patients, by direct negotiation by telephone and face to face; ensure
that patients receive correct starving instructions and other relevant information about their admission.
The post holder will be require to use administrative /digital systems and maintain data quality and ensure accurate and timely detail is recorded
As this role is patient facing the post holder will require excellent communication ad negotiation skills. In additional the post holder will be expected
to communicate effectively with a large range of clinical and administrative staff .

Person specification

Qualifications & Training

Essential criteria
  • Minimum of 3 GCSEs including English and Maths at Grade C or above or equivalent qualification
  • Admin and Clerical or equivalent qualification / demonstrable experience and suitable qualification
Desirable criteria
  • Business Administration Level II Apprenticeship
  • Conflict resolution skills
  • Ability to initiate and coordinate change to own working practices for service improvement.
  • ECDL or equivalent qualification / demonstrable experience

Knowledge & Experience

Essential criteria
  • Previous experience working in a clerical/administrative role
  • Able to provide accurate information independently
  • Demonstrable working knowledge of Microsoft packages including Word
  • Customer Care Experience
  • Knowledge of and ability to work to Trust Policies and protocols including Referral to Treatment Patient Access Policy
  • Experience of working within a busy/demanding environment. E.g. Multi-disciplinary team.
  • Ability to work to and promote Standard operating procedures / performance targets.
Desirable criteria
  • Fully conversant with all waiting list functions on PAS and the ability to action these independently.
  • Good knowledge of speciality specific patient pathways
  • Thorough knowledge of health care system and processes
  • Experience of working in a Health Care setting in clinical administration role
