Job overview

We have an exciting opportunity for an Administrator to join the Community Children's Nursing (CCN) Team. 

The Community Children's Nursing Service supports the care of children and young people with healthcare needs in the home and community environment, to reduce the need for hospitalisation.  This includes children and young people with short and long-term illness, through to end of life care where necessary.

You will offer confidential and efficient secretarial support to your colleagues within the team. You will provide an effective and efficient administrative service to the Community Children's Nursing team, including admin support to the team leader. 

You will be required to work on your own initiative and demonstrate a willingness to help others and be a key member of the team. 

You will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post. Excellent interpersonal and communication skills are essential with an ability to deal with highly sensitive and challenging situations. 

You will liaise with a wide range of people, partner organisations and agencies, both internally and externally on behalf of the CCN team ensuring that a professional image is maintained at all times.

Main duties of the job

  • Supporting with the preparation of all documentation, including agendas, circulating papers and minuting meetings
  • Typing letters and reports 
  • To collect and input statistical information as required and ensure that reports where requested are delivered within timescales.
  • Making bookings and cancellations e.g. training places, rooms and interpreters.
  • Receive, sort and distribute internal and external mail, ensuring that important and sensitive information is brought to an appropriate person’s attention in a timely manner.
  • Supporting diary management of an individual or individuals (arranging meetings etc)
  • Monitoring of an individual or team inbox
  • Arranging external meetings / events / conferences including sourcing venues, arranging purchase orders etc.
  • Provide general non-clinical advice, information and guidance to children and young peoples, parents and other professionals, to deal with all enquiries and communicate effectively on behalf of the Team.
  • To deal professionally and promptly with telephone enquiries, taking and processing messages accurately and adhering to relevant policies and procedures.
  • Providing cover for other administrative colleagues within the CCN service during staff absence
  • Dealing with patient/public enquires about services - liaising with professionals where required
  • Coordinate ordering of consumables as instructed and manage this process
  • Support with the coordination of equipment maintenance and servicing

Qualifications

Essential criteria
  • NVQ Level 3, RSA 3 or equivalent level of secretarial experience
  • Good standard of general education including English and Maths at GCSE Grade C or equivalent or Functional Skills (English and Maths) Level 2
Desirable criteria
  • Previous secretarial experience within a healthcare setting

Experience

Essential criteria
  • Relevant secretarial experience as a Team Secretary/Personal Assistant
  • Experience of dealing with sensitive/distressing issues
Desirable criteria
  • Experience using Rio
  • Experience of customer services/reception

Skills

Essential criteria
  • Proficient in use of Microsoft Office e.g. Word, Excel etc
  • Demonstrate the ability to prioritise workload in order to meet deadlines
  • Demonstrate an understanding of the importance of effective team working
  • Demonstrate a high level of communication skills, both written and verbal
  • Excellent organisational skills and work on own initiative
