The Medical Workforce Team are looking for an enthusiastic and self motivated individual with excellent communication skills to join their team on a Permanent basis as a Medical Workforce Administrator.
You will be responsible for providing a high quality administration for the eJob planning system and support with the recruitment of Medical and Dental staff across all the Service Groups within SBU HB.
The successful candidate will contribute towards an atmosphere that is conductive to good client relations, particularly with regard to inter-personal skills and communication. They will also ensure compliance with Policies & Procedures as identified by Swansea Bay University Health Board.
Acting as system administrator for the eJob Planning system, providing advice, face-to-face and virtual training to Clinicians and managers across the HB, technical support and maintaining user accounts as required. Providing a high quality customer focused Recruitment service for the Health Board throughout and in accordance with best practice, regulations and employment legislation.
Main duties of the job
This role will work closely with the eJob planning Manager and the Medical Recruitment Team. This role will suit a person with a methodical approach to problem solving, who has a flexible approach to work and shows creativity in achieving objectives.
E Job Planning - Acting as system administrator to ensure information is maintained, monitored & cleansed on a regular basis. You will provide specialist support and advice to service managers and clinicians across the HB, to ensure job planning is carried out efficiently and effectively. You will be required to carry out face to face and virtual training sessions with both service managers and clinicians and will be required to be able to travel between HB sites in a timely manner. You will be required to analyse and interpret complex data providing feedback to the eJob planning manager & service groups.
Recruitment - Supporting the Recruitment team in the recruitment process for Medical and Dental Staff and Locums in line with latest guidance and legislation. You will be required to attend and facilitate interviews both virtually & face to face. This involves liaising with internal and external stakeholders . Ability to prioritise work to meet deadlines with a flexible & adaptable approach is essential. You will be required to maintain confidentiality at all times & undertake other administrative duties as required.

The post holder will require excellent communication skills, ability to prioritise workload, with proven experience in collaborative working, as well as sound knowledge of MS Excel, PowerPoint and other Office software packages.

Qualifications and / or Knowledge
Essential criteria
- Educated to diploma level/vocational level 4 or able to demonstrate the equivalent level of knowledge, skills and experience.
- Working knowledge of employment legislation, good practice and current developments in Medical Workforce Practices.
- Understanding of the Principles of confidentiality.
Desirable criteria
- CIPD Qualified
- Working knowledge of and EJob Planning information system
Experience
Essential criteria
- Office and administration experience.
- Experience of Computer software packages, i.e. Excel, Word.
- Experience of maintaining an electronic system.
- An understanding of pay procedures.
Desirable criteria
- Familiar with the Medical & Dental Staff Terms and Conditions
- Experience of working within a Medical HR/Recruitment Department
- Significant experience in a HR environment.
- Experience of interpreting and relaying Medical Terms & Conditions of Service.
