Job overview

We have an exciting opportunity for an enthusiastic individual to join our Surgical and Specialist Services Clinical Board as a Quality and Safety Support Officer. 


The post holder must have the ability to communicate and engage with teams across the clinical board and wider organisation, as well as gather, record and securely retain evidence relating to any incident/action in accordance with current legislation and Codes of Practice.

The post holder must use their initiative to plan time effectively and prioritise all incoming work daily, including responding quickly, appropriately and communicating clearly in relation to urgent/important and unpredictable issues ensuring a high-quality administrative service.

The successful candidate will be self-motivated, a good team player who enjoys finding solutions to complex problems and being able to manage their own workload, enabling the Quality and Safety Team to function effectively and to provide a positive and efficient image of the Trust.

Main duties of the job

The successful candidate should possess a professional attitude to their work and can work flexibly in a busy environment with excellent interpersonal and communication skills. You will be expected to work flexibly to support the Board and be willing to embrace change.

Duties will include:

  • The post holder should have a good understanding and overview of the work of the Quality Governance Team and fully support the team to prioritise and manage their workload in an informative and effective manner
  • Administrative support to the clinical governance leads in T&O, plastics, dental services, and sarcoma (Hany Mourkus, Jane Kerby, Michelle Moffat, John Tuckett)
  • To manage the meeting process by preparing agendas, take, produce, and circulate accurate minutes of meetings for all incident investigations 
  • To ensure that all matters of importance are brought to the immediate attention of the Team, and Quality Governance Team as required
  • Provision and distribution of relevant data for clinical governance purposes
  • Arrangement and support for other CG related meetings – i.e. RRs, M&Ms
  • Administration of complaints / PALs / incidents within departments
  • Administration of evidence and updates to action plans / CQC planning
  • Supporting arrangements for CG away days, audit days etc

Detailed job description and main responsibilities

  • The Quality and Safety System  Support Officer  will contribute to the implementation of work to support designated Quality and Safety  programmes. They will personally undertake a range of delegated duties as agreed, contributing to broader activities of the Department as required, including minute taking.
  • They will be the first point of contact for any Quality and Safety Management System  queries, including day-to-day management of the shared email inbox and providing telephone support.

Qualifications & Education

Essential criteria
  • • NVQ Level 3 qualification or equivalent in related area plus previous experience in public sector or relevant environment
  • • Literate and numerate

Knowledge & Experience

Essential criteria
  • • Extensive experience of use of a Quality and Safety Management System as an administrator
  • • Information Retrieval and Basic Analysis
  • • Awareness of Clinical Governance and Risk issues
  • • Awareness of Clinical issues
Desirable criteria
  • • Presentation/Teaching
  • • Involvement in Clinical Audit and Quality projects
  • • NHS experience

Skills & Abilities
