Job overview
The Directorate of Neurosciences in Newcastle has an international reputation as a provider of Neurosciences services. We provide a comprehensive service for a population of around 3 million throughout the North East and Cumbria.
You will provide a comprehensive and efficient secretarial and administrational service within Neurosciences. You should be able to integrate well with the existing team, be flexible in supporting the functions of the unit and have a genuine desire to contribute to providing a quality service for patients.
We are looking for a reliable and hardworking Clinical Administrator to join our Neurosurgery team to provide direct secretarial support to a Neurosurgery Consultant, working together to provide an efficient and quality service to a complex patient group. You will work alongside Senior Medical Secretaries and other Clinical Administrators carrying out duties which will include data entry, communication, clinical and non-clinical typing, proof reading, use of the hospital patient administration system, and co-ordination of patient’s records/test results, co-ordination of outpatient clinics amongst other general office duties.

Main duties of the job
The successful candidate will work alongside Senior Medical Secretaries, Medical Secretaries and other Clinical Administrators, carrying out duties which will include, but are not limited to; data entry, making and receiving telephone calls, clinical and non-clinical typing, use of the hospital patient administration system, co-ordination of patient’s records/test results, co-ordination of outpatient clinics, diary management.
The successful candidate will provide direct support to a team of Consultants and Specialist Nurses, ensuring effective diary management and ensuring clinical documentation is completed in a timely manner. Processing of referrals and direct patient enquiries is also a requirement of the role, communicating with Carers and multi-disciplinary teams as per clinical requirement. Management of patient tracking lists and accurate recording of RTT pathways will be required, amongst other necessary task such as attending MDT meetings and recording outcomes when asked.

Detailed job description and main responsibilities
- Working within a team of administrative staff to provide a comprehensive support service to Consultants, Medical Staff and other clinical members of their team e.g. Specialist Nurses and Therapists
- Communicates with patients regarding appointments and admissions at the request of the medical team
- Provide cover for Team Leader within your administration team as required
- Cover Clinical Administrator posts Trust wide as required

Qualifications & Education
Essential criteria
- • Level 3 qualification in administration or equivalent/relevant experience in administrative role(s)
- • English qualification at Level 2 (GCSE Grades 9-4 or A*-C, or Functional or Key Skills at Level 2)
- • Maths qualification at Level 1 (GCSE Grades 3-2 or D-F, or Functional or Key Skills at Level 1
Knowledge & Experience
Essential criteria
- • Experience of secretarial/administrative procedures
Desirable criteria
- • NHS Administration/Secretarial experience
- • Working Knowledge of NHS Systems e.g. eRecord, System One
