An opportunity has arisen in our Lansdowne Team, who are looking for an experienced Team Secretary. The role will play a key part in the administrative support to the wider clinical team, and you will need to be flexible, proactive, calm under pressure and a team player.
Main duties of the job
You will need to have excellent communication and interpersonal skills, be able to prioritise and adapt to constant demands on the workload as well as to demonstrate the ability to work as a team member.
The post holder is responsible for carrying out general secretarial duties; work within set routines and processes, policies and procedures to provide a comprehensive high quality service to the service, and able to deal efficiently and courteously with patients and staff enquiries. Relevant experience working as a secretary is essential.
Essential skills required for the post include – the ability to prioritise tasks, effective time management skills; excellent IT and secretarial skills; good communication, interpersonal and organisational skills.

Detailed job description and main responsibilities
The roles supports the clinical team with administrative and secretarial duties, including:
- Typing and sending clinic letters
- Using our Electronic Patient Record system
- Working from a shared inbox
- Booking appointments and diary management
- Telephone calls to and from service users, carers, staff

Qualifications
Essential criteria
- NVQ 3 or equivalent
- RSA 3 or equivalent experience and evidence of further practical experience or equivalent
- Good standard of secondary education; GCSE at Grade C or above or equivalent
Knowledge/Experience
Essential criteria
- Proven experience of a range of secretarial procedures
- Experience of producing documents to a high standard of presentation with good accuracy
- Experience of maintaining office systems
- Experience of working as part of a team
Desirable criteria
- Understanding of medical terminology
- Proven experience of working as an administrator
- Audio typing
- Experience of generating own correspondence
Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
