An opportunity has arisen at Yorkshire Ambulance Service NHS Trust for a dedicated individual to join the YAS Research Institute as a part time (up to 30 hours per week) Research Administration Officer within the Research and Development team. This is a fixed term role until 31/03/2026 with further extension to this being subject to securing future research funding.

The role requires provision of a high-level, confidential and comprehensive administration service to key senior members in the YAS Research Institute which sits within the Clinical Directorate.

Responsibilities include the management of diaries and email inboxes, processing correspondence, arranging visits and making travel arrangements. The post holder will need excellent minute taking skills and outstanding communication and organisational skills, to enable them to coordinate arrangements and manage priorities. They will be responsible for maintaining records and collating, printing and distributing papers for meetings, as well as taking minutes and coordinating meeting action logs. They will need to be self-motivated and be able to use their own initiative, whilst also being a team player.

Main duties of the job

The main duties of the role are:

  • To manage the diaries and emails of team members and the generic research email inbox.
  • To provide administrative support to the research team, including handling correspondence with research participants. 
  • To take a lead role in organising and administering meetings, including room bookings, taking and circulating minutes. 
  • Electronic diary management and filtering appropriate meeting requests as necessary.
  • To act as a point of contact for external stakeholders. 
  • To prepare, organise and attend meetings, including setting dates, checking availability, booking venues and organising refreshments. 
  • Work to deadlines and have the ability to multitask where there is a need to allocate and reallocate tasks to meet organisational requirements. 
  • Identify and book appropriate travel arrangements and provide comprehensive itineraries. 
  • Advise on Trust policies and oversee compliance where appropriate. 
  • Be the first point of contact for the Head of Research, Research Delivery Lead and R&D Manager for information internally and externally to enable them to fulfill their duties. 
  • Liaise with finance and supplies regarding departmental invoices following any issues with requisitions. 
  • Attend meetings and document minutes, whilst identifying any follow up actions. 
  • Provide secretariat support for specific meetings including collation and circulation of agenda papers, and producing minutes and action logs in a timely manner.
