Job overview

To provide a comprehensive secretarial service to the Paediatric  Community Team for North Somerset.

To act as an effective link across NHS staff, other departments, GPs, general public and other relevant bodies.

Main duties of the job

Secretarial support for clinical and secretarial team. 

Photocoping/Scanning and other administrative duties. 

Audio/copying typing of letters, reports and correspondence. 

Organise various meetings as requested by clinical staff.  

Requesting and chasing test results. 

Act as point of contact between parents, professionals and clinicians, dealing with queries via telephone, email and face to face. 

Ensure pending lists are maintained in accordance with patient access policy. 

To ensure all clerical activity is recorded accurately for activity purposes in a timely manner. 

Ensure effective diary systems are in place, updated and maintained. 

To be an effective team member and raised concerns to manager. 

To assist in training new members of staff. 

To cover reception as needed. 

To adhere to high standard of confidentiality and data protection. 

To follow the health and safety act and adhere to other policies. 

To undertake training as and when necessary. 

To work across Community Paediatric sites across Bristol North Somerset and South Glos.

Skills, Experience & Knowledge

Essential criteria
  • Excellent interpersonal skills via telephone and face to face, with a variety of colleagues, carers / parents, professionals / agencies both internal and external e.g. consultants, GPs, health visitors, school health nurses, education, social services, multi-disciplinary team.
  • Experience of working as part of a team and ability to plan activities of own role.
  • Attention to detail to be able to complete tasks accurately and efficiently
Desirable criteria
  • Good organisational/prioritization skills, being able to meet deadlines as well as carry out day to day activities of role.
  • Good oral and written communication skills e.g. ensuring messages are relayed and written down accurately.
  • Awareness of policies and procedures regarding confidentiality and data protection and ensure that these are adhered to with regard to patient records and information requested over the telephone.
  • To have the ability to work under pressure.
  • To be able to deal with patient queries in a professional, polite, sensitive and understanding manner.
  • To be able to promote good working relationships with secretarial colleagues and clinical staff.
  • Ability to work across sites in the wider BNSSG area.

Qualifications

Essential criteria
  • RSA III typing qualification or equivalent
  • Copy / audio typing experience
Desirable criteria
  • Previous secretarial experience dealing with telephone enquiries, correspondence, office administration and diary management
  • Previous experience of typing documents containing specialized terminology
  • Experience and understanding of dealing with sensitive and confidential information
  • Previous experience of working in a healthcare setting
  • Experience of patient booking system ie EMIS
  • Ability to take minutes
