Job overview

 This is a fixed term contract/secondment which will run until 31/03/2026 due to funding. 

There is a possibility of contract extension dependant on successful funding. Secondments will require support of your current Line Manager.

The SBRI Centre of Excellence is looking for a Centre Support Officer to play a key role in supporting the Business Development and Project Management Teams. Main duties of the job

So, what does the SBRI Centre of Excellence do: 

We are funded by Welsh Government and hosted by Betsi Cadwaladr Health Board to help drive innovative solutions for challenges across healthcare and the wider public sector. We work with colleagues to identify their unmet needs, where no readily available solution exists, and frame that challenge into a competition that invites businesses, third sector and academia to propose their idea for a solution. The successful applicants receive funding and the Centre project manages the development and captures the benefits of their innovative solutions. 

This role will support the promotion, development and implementation of projects that identify and resolve unmet needs/challenges within health and the wider public sector, working with clinical, administrative and technical staff from Welsh Health Boards, NHS, Welsh Government, Local Authorities, businesses, third sector and academia. 

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Detailed job description and main responsibilities

Working as part of the SBRI Centre of Excellence , the post holder will provide full administrative support to the Team. This will require the post holder to manage diaries resolving conflicting diary appointments, organise meetings, prepare meeting papers and take minutes of meetings. The postholder will source and provide information when required, to include report collation.

Working as part of the team the postholder will be the first point of contact for the team, this may extend to other internal and external stakeholders. The postholder will also receive and welcome visitors to the department.

. Update and maintain an effective and efficient knowledge management system to contain all the raw data capture, relevant project paperwork, training materials, testing documentation, benefits realisation, lessons learnt reporting, evaluations to create intelligence to support the project and service improvement across the SBRI Portfolio.

· Ensure version control for documentation.

· Complete essential administration tasks ensuring all documentation templates are up to date.

· Work with more senior members of the team to ensure that all processes/tools including business cases, specifications, project plans, testing and training plans, benefits analysis, and risk and issue logs, and follow-on actions are completed and contemporaneous by contacting t team members to contribute to them.

· To ensure that all areas of own work are carried out in an economic and efficient way thereby contributing to the control of limited resources.

· Arrange workshops and events liaising with key internal and external stakeholders prepare agenda and take minutes ensuring that all arrangements have been catered for i.e. room layout, video conferencing/audio facilities and refreshments.

· Ensure that visitors to the department are welcomed by ensuring they have a waiting area and that refreshments are offered.

· Source and book event and programme venues and appropriate resources.

· Organise travel and accommodation for team as appropriate.

· Order and receipt office supplies and raises orders associated with Projects using the Oracle system.

· Utilise a comprehensive range of work processing, spread-sheet, database and power-point skills.

· Accurately produce reports, letters and meetings papers and minutes of meetings such as team meetings and project / programme board meetings.

· Interpret routine information and requests and action accordingly.

· In the absence of the line manager make decisions regarding workload priorities and use personal judgement to ensure that any problems arising are dealt with appropriately.

· To take and initiate action as delegated by line manager

Qualifications

  • NVQ 3 in Administration/RSA III or equivalent level of knowledge/experience.

  • PRINCE II Foundation
  • ECDL or equivalent qualification

  • Proficient in use of Microsoft Office applications
  • Able to use own initiative and judgement to analyse and resolve problems
  • Ability to support and deliver to deadlines on a wide range of administration processes
  • Experience of communicating directly at all levels in an organisation

  • Experience of working within the NHS
