Job overview

The primary role of the post holder is to act as a Personal Assistant to the Health of Healthcare and Deputy Head of Healthcare. 

First point of contact for the Head of Healthcare and Deputy Head of Healthcare by telephone, e-mail, and correspondence or for visitors.

To prepare agendas, reports and documentation using the Microsoft Office package.  Advanced level use of IT packages including Word, Excel, Outlook, PowerPoint and Publisher is required.

Manage all telephone enquires/calls and emails in a polite and courteous manner

Main duties of the job

You will be responsible for providing a confidential and comprehensive secretarial service to the Head of Healthcare and support other members of the senior health management team where required.   

You will have excellent organisational and interpersonal skills and be able to work under pressure to meet the changing needs of the service. The ability to work autonomously and without supervision is an important aspect of this role.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Qualifications

Essential criteria
  • Diploma in Office administration or experience to diploma level.
  • In-depth and detailed knowledge and understanding of secretarial procedures, the structure, policies, plans, regulations, management and operational procedures of the Organisation.
Desirable criteria
  • Comprehensive knowledge of Windows, Word, Excel, PowerPoint.

Experience

Essential criteria
  • Experience at a high level of providing a comprehensive administrative or PA service.
  • The ability to deal with members of staff / the public and external bodies professionally and sensitively and to maintain high standard of confidentiality
Desirable criteria
  • Previous experience of working as Administrator / PA to an Executive Director or equivalent.
