Job overview

We are looking for a highly organised and motivated individual to join our Pharmacy team in a key role supporting both procurement and stores operations. This post is vital to ensuring the safe, efficient, and cost-effective supply of medicines and pharmaceutical products across the Health Board.

The successful candidate will be responsible for managing the end-to-end procurement process, including placing orders, monitoring stock levels, resolving supply issues, and ensuring compliance with national and local contracts. They will play a central role in maintaining continuity of supply for patients, particularly during recalls or shortages, and will be expected to liaise with suppliers to secure appropriate alternatives and financial compensation where necessary.

In addition to procurement duties, the postholder will oversee the day-to-day operations of the pharmacy stores area, supervising staff and ensuring that goods are received, stored, and distributed in line with departmental procedures and health and safety standards. They will also contribute to the development and review of standard operating procedures and support the implementation of digital innovations in procurement and stores management.

This role requires strong attention to detail, clear communication, and effective teamwork with pharmacy, supplier, and clinical colleagues. It offers a chance to drive service improvements and support innovation in a patient-focused setting.

Main duties of the job

Procurement:

  • Manage ordering systems in line with local, regional, and national contracts.
  • Prepare and process scheduled orders based on stock levels and supplier deadlines.
  • Monitor usage trends and recommend adjustments to stock levels and item specifications.
  • Investigate and manage drug recalls, including batch checks and reporting.
  • Resolve supply issues by sourcing suitable alternatives to maintain patient care.
  • Review procurement practices to ensure cost-effective use of resources.
  • Administer financial claims for supplier non-compliance with contract terms.
  • Ensure purchases align with the Health Board Joint Formulary.
  • Maintain stock levels within departmental limits and investigate discrepancies.
  • Update pharmacy systems with new medicines, supplier changes, contract details, and pricing.
  • Produce and review SOPs for procurement and stores in collaboration with senior staff.
  • Handle supplier complaints and liaise on future digital procurement innovations.

Stores Management:

  • Supervise staff in goods-in and stores areas to ensure:
    • Accurate receipt and storage of goods.
    • Timely processing of returns.
    • Completion of ward top-ups and resolution of queries.
  • Maintain health and safety standards in the goods-in area.
