Job overview

We are looking for an enthusiastic administrator with excellent communication skills to work in a friendly and supportive multi disciplinary team.

This post will support an established administration team booking patient appointments and for patients attending our Pulmonary Rehabilitation service and outpatient clinics as well as maintaining and managing waiting lists for the service.  

The post holder would be required to provide a professional and comprehensive Administration Service in departmental areas across the
Trust ensuring the effectiveness of all communications and organisational systems at all times. 

The ImpACT+ team is consisting of Consultants, Physiotherapists, Specialist Nurses, Occupational Therapists, Assistants, Fitness Instructors and Administration staff.

The team provides a range of Community Services across Southern Derbyshire and Erewash including outpatient clinics and
pulmonary rehabilitation. 

Main duties of the job

  • To act as the central point of contact for the administration service, providing a high standard of administrative support in own departmental area
  • Provide effective communication across all boundaries using negotiation and persuasion skills to ensure the delivery of a comprehensive Administration service.
  • To ensure all enquiries are effectively managed and successfully resolved within a prompt timescale, ensuring all relevant personnel are informed as necessary and an appropriate record is maintained.
  • Undertake general administration duties in respect of own department requirements I.e., diary management and organising associated activities/paperwork – including arrangement of
    meetings, taking meeting notes and producing agendas/minutes
  • Prioritise own work schedule, to ensure an efficient and timely output within all areas of responsibility, to assist in achievement of quality and audit standards.
  • Awareness and understanding of sensitive information, ensuring strict confidentiality at all times.
  • Ensure timely delivery of regular and ad hoc, data / information requested by the management team, producing reports as required.

Essential criteria
  • A good standard of English to GCSE (9-4 or A-C) or equivalent
  • RSA/OCR level III or equivalent knowledge and skills.
  • NVQ III in Business and Administration or equivalent knowledge and skills.
  • Experience of appointment booking processes.

Experience & Knowledge

  • Knowledge of a range of administrative or secretarial procedures
