Job overview

The Anticoagulation Administrator will have responsibility for the organisation of anticoagulation clinics and the day to day smooth running of the service, receiving referrals and dealing with complex anticoag queries. In your role working face to face with our service users, you will be the initial contact point representing the Anticoagulation Team for our service users and stake holders.

Under the leadership and guidance of the Thrombosis and Anticoagulation Administration Manager, you will be able to use your own judgement to determine when advice from senior colleagues is required.

To follow all department protocols in dealings with both colleagues and clients, contributing and implementing changes when required

Raise concern and escalate appropriately where unsatisfactory practice is identified

 

The Anticoagulation administrator must be able to work autonomously and also in conjunction with the administrative team, clinical nurse specialists, Consultants and internal and external stakeholders.

Main duties of the job

1.    Act as a point of contact for patients, carers and telephone callers

2.    Provide and receive complex and sensitive information such as personal medical information

3.    Deal with enquires from users, patients and other members of staff in a polite and helpful manner, seeking scientific staff advice where required

4.      Liaise between laboratory staff / users of the service and deal with telephone enquiries from users, patients and other members of staff in a polite and helpful manner, seeking scientific staff advice where required

5.    To work as part of a team and liaise with Medical Laboratory Assistants, Biomedical Scientists within the Haematology and Pathology Departments.

6.    To work alongside Trust colleagues in order to contribute to the Trust visions. Demonstrate respect, dignity and privacy of all staff and patients and act with kindness and courtesy.

7.    Attend regular staff meetings to ensure effective communication of departmental standards and issues.

8.    To provide fast anticoagulation referral reviews, adding referrals to DAWN database and CAREFLOW.  Book clinic appointments where appropriate.

9.    To identify and problem solve service issues and report to the Administration Manager and/or Clinical Nurse Specialists as appropriate.

10. Liaise closely with the Administration Manager, Service Lead and Clinical Nurse specialist team highlighting any issues in a timely manner.

Answering patient telephone line including managing the answerphone system, dealing with complex anticoagulation queries, rebooking appointments as appropriate. Passing on advice provided by the Clinical Nurse Specialist when required.

To use the 4s DAWN Anticoagulation Dosing System and enter patient data as required in an accurate and agreed timely manner

Upload relevant documentation into DAWN and Evolve to develop a paperless environment

Person specification

Essential

Essential criteria
  • GCSE or equivalent in English Grade 4 (C) or above
  • IT Experience with Microsoft Word/ Excel
  • Experience of work within a health care setting
  • Knowledge of medical terminology
  • Experience in the field of administration and data analysis obtained through qualifications or the equivalent practical experience gained through working in a high level administration setting including taking, recording and distributing minutes of meetings
  • Excellent communication skills both verbal and written in the English language
  • Excellent interpersonal skills and engagement skills
  • Good organisational skills
  • Able to organise own work, (including good time-keeping) and to work methodically Ability to work as part of a team
Desirable criteria
  • Computer literate in all hospital IT systems to include Careflow, Bamboo, IPROC, Winpath
