Detailed job description and main responsibilities

The postholder will be responsible for the following tasks: -

·         To support with the management of the out-patient waiting list for new and follow-up appointments, escalating any potential issues

·         To arrange appointments as appropriate following clinical triage

·         To monitor and action the Dolphin out-patient mailbox as appropriate

·         Regular communication with patients with regards to their appointments, ensuring appointment letters are sent within a timely manner

·         Actively manage patients who do not attend their appointment and seek further advice with regards to rearranging appointments

·         To ensure that clinics are appropriately prepared in advance and available for the clinician

·         Communicate both verbally and in writing with external organisations

·         Provide direct support/ administrative service for the team, which can involve handling sensitive patient information, always maintaining confidentiality

·         Triage calls from parents and other professionals – recording and escalating these calls as appropriate

·         Scanning of results and clinical correspondence

·         To provide clerical support to the Governance & Quality Team

·         To support in updating the W&C microsite for both Obstetrics & Gynaecology and Paediatrics & Neonates ensuring all information is available and up to date including patient information leaflets

·         To provide clerical support to clinicians ensuring all guidelines, standard operating procedures are in the correct formats before uploading to the appropriate microsites

·         Triage of telephone enquiries

·         To support in the maintenance of databases to track all guidelines, standard operating procedures and policies are up to date and available to all who require

·         To provide administrative support to the Division

·         To undertake any other duties deemed appropriate by the management team

If successful this vacancy will require a Standard DBS check at a cost of £26.90. This cost will be deducted from your first Trust salary


In addition to this it will be a condition of your employment that you will join the DBS update service and pay the annual subscription fee of £16.
