Job overview

We are looking for an enthusiastic, motivated, caring individual to support the administration of the Speech and Language and Dietetic Services in the delivery of high quality care to members of our local community with a clinical need for the services and interventions we deliver.

Main duties of the job

You will be required to undertake a wide range of clerical & administrative duties as part of a small friendly team. The post requires well developed interpersonal skills as you will be expected to  liaise with patients, carers, clinical staff & outside agencies. 

Ideally you will have previous experience in a healthcare environment, be a good communicator and have the ability to work unsupervised. Good IT skills are essential as the role will involve regular use of computer based clinical systems, although we will provide training and on-going support to the right candidate.

Detailed job description and main responsibilities

        Act as a point of contact to deal effectively with a wide range of enquiries. Perform call handling responsibilities on behalf of the services.

               

        To receive and co-ordinate telephone calls from a variety of sources answering queries from staff, clients, and others.

 

        To take forward messages as appropriate.

 

        Manage generic email address boxes.

 

        Signpost service emails following service guidelines.

 

        Provide support with all office administration for the services e.g., scanning, photocopying, laminating, using  clinical IT systems.

 

        Booking home visit appointments with clients over the telephone and capturing appointment details onto data  Systems.

Qualifications & Training

Essential criteria
  • NVQ Level 2, GCSE Level Maths & English or equivalent experience
Desirable criteria
  • Working knowledge of Microsoft packages (Word, Excel, Outlook)

Experience & Knowledge

Essential criteria
  • Previous experience of dealing with the public and taking telephone enquiries
  • Ability to input data accurately

Skills & Attributes

Essential criteria
  • Good oral & written communication skills with people from a wide variety of backgrounds
  • Ability to produce work of a good standard with attention to detail
  • Ability to communicate sensitively with all staff groups, patients and their families
