Job overview

An exciting opportunity has arisen for an enthusiastic individual to undertake the role of Clerical Officer/Receptionist within our health centres. As a member of the administration team you will ensure a high quality reception and efficient administration service is provided to staff and patients.   This post is based at Park House but the post holder will also be required to work at other bases in the immediate area and other sites across Nottinghamshire.

Please note applicants will be required to pay for their DBS check. Costs are deducted from salary following appointment. The cost of the DBS application is £26.40 (standard) or £54.40 (enhanced), this cost will be deducted from your salary over the first 2 months of employment. 

You are encouraged to enrol for the DBS Update Service. An annual fee of £16 per year applies. 

Main duties of the job

You will be required to have good written and verbal communication skills as the role entails liaising with staff, clients and other agencies at all levels.  You may be required to work at other health centres across the county so ability to travel a necessity.

Detailed job description and main responsibilities

  • To participate in the provision of a welcoming and confidential reception service to clients, staff and visitors.
  •  To participate in the provision of an efficient clerical support service to clinical and managerial staff.
  • To provide administrative support and undertake clerical duties requested by managerial and clinical staff within the health centre.
  • To provide reception duties at the health centre for staff and patients.
  • To deal with requests, incoming calls and enquiries and forward onto the relevant personnel as appropriate.
  •  To book and notify patients of appointments.
  •  To type reports and correspondence.
  •  To implement and maintain adequate filing and follow up systems.
  •  To undertake general clerical duties including the collection, distribution and posting of mail.
  •  To ensure that manual and electronic records are maintained and up to date, including filing of documents in health records and facilitating the smooth and timely transfer of records in and out of the area as required
  • Provide members of the public with supplies available from the health centre.
  • To travel to and work from other bases within the organisation to carry out administration support.
  • To provide any other duties as delegated by the Centre Manager

Please note that this post does not meet the pay level required for a Skilled worker visa.   Successful applicants with no prior NHS experience would normally be placed at the bottom of the band in line with Agenda for Change.  This salary is below the minimum salary required for sponsorship for a Skilled Worker/Health & Care visa.  In these circumstances the Trust would not, therefore, be able to sponsor for a Skilled Worker/Health & Care visa.
