Optimisation Implementation Advisor

Job overview

The Optimisation Team offers extra support to the NHS and wider system to overcome the workforce challenges being faced by the NHS. Our goal is to help the NHS and the wider system improve its use of our workforce services.

This role will initially be working within our project team supporting the NHS Pensions area. You will work with internal teams and external stakeholders within a structured project management framework to ensure goals and objectives are met. This project involves process mapping, writing and training of Standard Operating Procedures and line management of Optimisation Administrators, amongst other things.

We are looking for colleagues to join the Optimisation Team as an Optimisation Implementation Advisor on a fixed term or secondment basis, with a contract length of 18 months.

This position is currently hybrid working, with a main base of Newcastle, Fleetwood or Wakefield. If applying internally, please get approval from your line manager before making an application. We may close this advert early if an appropriate number of applications has been received.

Main duties of the job

You will work on our NHS Pensions project, as part of this you will:

  • Build excellent working relationships internally and externally, with colleagues, customers and system users.
  • Support the implementation of business change across several projects and diverse stakeholder groups.
  • Champion the use of workforce systems across the NHS and beyond by highlighting the benefits and providing bespoke support to ensure valuable and long-Lasting improvement.
  • Prepare user guidance documents, briefings and process maps to support the implementation of improvements and process change.
  • Ensure that the benefits of the change activities are identified, measured and owned in order to realise the business benefits.
    Prepare highlight reports defining progress, problems and solutions for the Senior Management Team.
  • Review and report to Optimisation Implementation Leads to ensure that lessons learned are incorporated into future developments by carrying out evaluations and assessment of result
  • This post includes travel across the NHS regions.

Detailed job description and main responsibilities

In this role, you are accountable for:
1.    Supporting and reporting to the Optimisation Implementation Lead. 
2.    Support multiple implementation projects to ensure a successful implementation for both NHSBSA and organisations using NHS Jobs, ESR, Pensions and HR Shared Services. 
3.    Build excellent working relationships internally and externally, with colleagues, customers and system users. 
4.    Be forward thinking and continuously reviewing the effectiveness of the implementation, changes and identifying improvements. This includes working with other business areas and stakeholders. 
5.    Ensure engagement from Implementation Team Members during the implementation of change, providing clear direction, updates and identification of risks and actions to enable a positive change experience. 
6.    Encourage an atmosphere of trust and openness based on working together and shared objectives. Support the implementation of business change, highlighting risks, issues and actions in line with required standards across a number of concurrent projects and diverse stakeholder groups. 
7.    Line management for direct reports and responsibility for the effective implementation of policies relating to appraisal, absence management, disciplinary and grievance processes, performance monitoring and management and personal development plans. Actively progress own development requirements, seeking to create opportunities to meet your development requirements. 
8.    Prepare user guidance documents, briefings and process flows to support the implementation of improvements and process change. Ensure that the benefits of the change activities are identified, measured and owned in order to realise the business benefits. 
9.    Prepare highlight reports defining progress, problems and solutions for the Operational Management Team. 
10.    Review and report to Implementation Leads to ensure that lessons learned are incorporated into future developments by carrying out evaluations and assessment of results 
11.    Responsible for working with WSD project teams including with internal and external members, acting as a subject matter expert. Champion the use of WSD systems across the NHS and beyond by highlighting the benefits during implementation. 
12.    Work with HR Shared Services, NHS Jobs, ESR, Pensions and other BSA services to ensure services work together to promote the Hire to Retire journey through the Optimisation work stream. 
13.    To participate in wider organisational activities where own recognised strengths may be utilised (e.g. project management skills). 
14.    Be accountable for your own personal development needs in order to be fully equipped to meet current and future management and organisational needs.

  • Degree level in change management or similar discipline or relevant experience in a middle management role.
