Job overview
An excellent opportunity has arisen for a Radiology Services Administrator role in our busy and friendly administrative team, based in York.
This is a fast-paced role that will require problem solving and excellent communication skills. It will be essential that the post holder is an organised individual, team player, as well as being able to work on their own initiative. You will also need to be able to demonstrate a clear understanding of confidentiality issues and respond to queries in a professional manner.
The successful candidate will work as a member of the Radiology team, to assist in administration and clerical duties for all patient pathways.
The hours of work will be between the hours of 8:00 am to 6:00 pm, Monday - Friday.

Main duties of the job
- To maintain patient confidentiality at all times following the Trust guidelines.
- To manage patients through Radiology administrative processes and pathways, in accordance with Standard Operating Procedures.
- To receive and accurately process any diary cancellations, ensuring patients are supported by the Referral to Treatment Guidelines and departmental booking rules are followed.
- To collect and record data to support waiting list times attainment, and highlighting breach patients to the Team Leader/Service Manager.
- To manage appointments ensuring patients are seen within the maximum waiting times, and in clinical and chronological order, set out in the Referral to Treatment Policy.
- To support patients attending outpatient appointments using tact and diplomacy, ensuring patients have arrived and general queries are answered/escalated as required.
- To ensure all patients who fail to attend-DNA (Did not attend) their appointments are followed up in accordance with the departmental DNA SOP.
- To be able to prioritise day-to-day workflow, acting independently and unsupervised within departmental guidelines.
- To be able to make adjustments to planned lists at short notice overbooking/rescheduling where necessary.
- To manage the diaries to ensure all scheduled sessions are fully utilised.
- To be responsible for the training of new team members within the Radiology department.

Education, Qualifications and Training
Essential criteria
- GCSE A-C or equivalent qualification in Maths and English
Desirable criteria
- ECDL Qualification
Experience & Knowledge
Essential criteria
- Previous clerical experience and knowledge equivalent to NVQ Level 3
- Experience of working within a team
- Experience of using patient administration systems
- Experience of working with Microsoft packages
- Experience of working to a high standard in a customer service environment
Desirable criteria
- Working knowledge of the Radiology Information systems or appointment systems
- Understanding of the 2WW cancer referral system and fast track appointment booking
- Experience of appointment systems and understanding of Referral to Treatment Policy
- Experience of using a patient database and recording accurate data

Applicant requirements
The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
